Data Protection
Eunomia stores and processes data that relates to individuals from inside and outside of the company in strict compliance with the UK GDPR. This may involve business associates, clients, contractors, or people identified during research or survey work. These data may be obtained via verbal, written or electronic media and typically include name, telephone number, and email address. The information is retained for as long as it is necessary for its intended purposes. Our Data Protection Policy sets out the principle rules, and guidelines our staff need to follow when processing your personal data, and relevant data protection laws we follow including the UK General Data Protection Regulation, Data Protection Act 2018, and any reiteration of relevant legislations (“DP Laws”).
For client projects, where we are a Data Controller under the UK GDPR, we obtain consent from the individual to use personal data unless it is reasonable to assume they would give consent. The data are secured and deleted according to contractual and legal protocols. We also process some personal information as part of our core business activities without requesting explicit consent from the individual. We do this for at least one of the following purposes:
• To enhance our services to the benefit of our clients;
• To improve the security and risk profiling of existing and future business relationships;
• To communicate with clients and business partners in order to develop new business opportunities.

Your rights
Eunomia aims to be as open as it can, in terms of giving individuals access to their personal information. You can find out if we hold any personal information by making a Data Subject Access Request (DSAR) under the UK GDPR. On rare occasions we may refuse requests if, for example this involves the disclosure of another individual’s data or for legal reasons.

You may also object to this processing or wish to make corrections to the data. If you wish to make any such request please make this clear in your request.
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website or send them via email, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Newsletters and report requests
We use a third party provider, Mailchimp, to deliver our monthly e-newsletters. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. Any reqests for free reports may include adding your contact details you provide being added to our CRM systems and, or Mailchimp database.
Persons under Sixteen
Eunomia is committed to protecting the privacy of children that visit our website, and who are under the age of sixteen years old. With this in mind, visitors to our website that are under the age of sixteen are requested to obtain the permission of their parent or guardian, prior to submitting personal information onto our website.

This privacy notice does not cover the links within our website which redirect you to other websites. We encourage you to read the privacy statements on any other websites you visit, to satisfy yourself that those organisations comply with protecting your personal information under UK GDPR.
Social Media
We use third party providers such as LinkedIn, Twitter, YouTube, and Instagram as platforms for our social media interactions. If you send us a private or direct message via social media, the message will be stored by these sites in accordance with their privacy policies.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our websites (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

We take any complaints we receive about this very seriously. We encourage anyone with a concern to bring it to our attention if they think that our collection or use of information is unfair, misleading or inappropriate. We would also welcome any suggestions for improving our procedures. If we receive a complaint from a person, we create a file containing the details of the complaint. This normally contains the identity of the complainant and any other individuals involved in the complaint. We will only use the personal information we receive to process the complaint and to check on the level of service we provide. We usually have to disclose the complainant’s identity to whoever the complaint is about. This is inevitable where, for example, the accuracy of a person’s record is in dispute. If a complainant doesn’t want information identifying him or her to be disclosed, we will try to respect that, however, it may not be possible to handle a complaint on an anonymous basis. We will keep personal information contained in complaint files for two years after resolution of the complaint. It will be retained in a secure environment and access to it will be restricted to key personnel only. If your complaint relates to delays in service, claims decisions or technical issues e.g., access problems, but is not related to your personal data, then these matters will not be reviewed by the Data Protection Officer. However if you are unhappy about the response to your complaint regarding the use of your personal data this can be escalated to the Data Protection Officer via email at dataprotection@eunomia.co.uk
If you remain unhappy with our response, or you believe that your data protection or privacy rights have been infringed, you can complain to the UK Information Commissioner’s Office (ICO) which regulates and enforces data protection law in the UK. Where your data is sent
To manage and provide our products and services, prevent fraud, and comply with legal and regulatory requirements we may need to share your information with a third party. Visitor comments may be checked through an automated spam detection service.
We will disclose your personal information to third parties if we are under a duty to disclose or share your personal data to comply with any legal obligation; or to enforce or apply our Terms and Conditions of Use and other agreements; or to protect the rights, property or safety of Eunomia our Members, or others.
When filling out a form on the website your ip address along with any details you provide will be sent to on of Eunomias CRM systems for processing.
International Transfers
Some of the Eunomia companies are in countries outside of the United Kingdom and the European Economic Area. Where this is the case, we transfer your personal data to them on terms that are permitted within the law and in line of any contracts.
